what WE need YOU to do for us

We need you to fill the role of HR Administrative Assistant. This is a FULL TIME, NON-EXEMPT position. You’ll wow us by masterfully performing the following key duties and responsibilities:

  • Demonstrates both data integrity understanding and strong organizational savviness when performing a wide range of duties relative to the maintenance and processing of personnel records, reports, and when assisting the Onboarding and Compliance Coordinator by updating various compliance-related spreadsheets.
  • Thinks resourcefully when preparing and posting both internal and external job postings, and when performing scheduled maintenance on the agency’s Applicant Tracking System (ATS).
  • Resiliently updates/maintains the agency’s organizational charts on a monthly basis utilizing Microsoft Vizio. 
  • Acts as a backup for the Benefits and Payroll Coordinator, and processes payroll prep changes using various spreadsheets and the agency’s computerized HRIS system.
  • Values differences and demonstrates exceptional interpersonal skill when responding to both phone- and email-based general inquiries on behalf of the HR department.
  • Provides clerical, operational, and general project support to all other human resource staff.
  • Responds in a customer-focused manner when assisting employees with basic interpretation of HR policies and procedures, and when escalating more difficult questions to the CHRO.
  • Assists with new-employee orientations.
  • Acts as a backup to the CHRO by responding to reference checks and verifications of employment status.
  • Manages HR-related schedules and meetings, including reserving space, making copies, etc.
  • Instills trust by maintaining high standards of confidentiality of all employee records and information.
  • Other duties as assigned.

to be successful in this role, WE’LL need YOU to

  • Possess a High School Diploma or GED; Bachelor’s degree in Human Resources, Business Administration, Psychology or related field preferred; plus
  • Three years’ experience in a fast-paced, high-demand administrative role; or
  • Any equivalent combination of education and experience.
  • Have above average experience with various technical programs – particularly database systems, Excel, Word, PowerPoint, and Vizio (to name a few).
  • Pass all required criminal history background checks; have a valid Texas driver’s license and provide Department of Public Safety proof of driving record acceptable to agency insurers for the past three years; and must submit to pre-employment drug screen and TB text as well as random drug screens when directed.

how WE’LL make it worth YOUR while

  • We will pay you an annual salary of $30,000 to $32,000.
  • We’ll pay for your medical, life and short-term disability insurance.
  • We will give you 15 accrued paid time off days in the first year, and 22 days in the second year, capping out at 30 days after year seven.
  • We’ll pay you for our six agency holidays and four additional personal holidays to be used at your discretion.
  • We’ll contribute 2% to your 403(b) retirement, and we’ll kick in an additional 1% if you agree to match it.
  • We understand that you have commitments outside of the workplace, and we’ll do our very best to offer you some flexibility in your work schedule.
